- Advertising - at present uses our adsystem but we are looking at changing over to google ads (presently implemented only for non-logged in users). Check emails regularly (preferably daily) for advertising enquiries (mark with label 'Advertising') or notifications of advertising payments from Registernow or paypal. Registernow sends all payments with the same heading so they get sorted into a single 'conversation' thread by gmail. If there is an advertising payment Kevin has set up a rule so that the Advertising label is automatically added. So keep an eye out for anything from registernow that has this label. Be careful not to archive these conversations if they still have gear orders in them (gear person deals with these). When replying to registernow emails be careful to hit 'reply all' and remove the 'info@registernow' address that is the default Replyto: in their system - 'reply all' will also get the customer email in the cc: field, so copy this into the to: field. Some advertising payments also come through from Paypal as 'donations'. Once you've received a payment, you need to log into http://www.coolrunning.com.au/adsystem (password details will be communicated to you privately). Then hit the users tab at the top of the page to see a huge long list of all the people who have ever had advertising accounts with us. I usually use the search function in the browser rather that the one provided on that page - sometimes people pay in different names and/or email addresses from their account, so you may need to communicate with them from the gmail account to clarify which account is to be credited (also be aware that quite a few advertisers have multiple accounts, so always repeat the search. Generally use the latest user account to credit. Click on the account name and you will be taken to an account screen. There is a spot where you can add payment details to credit the account. Sometimes if the ads have been deactivated due to accounts being in deficit you may need to manually reactivate the ads - I usually write to them in this case to check if they need help. If it just says paused that is something the user can easily control. To manually restart the ads you need to find the ad via the 'zones' tab on the home page - select the type of ad (quicklink or image) to bring up another huge list of all the ads that have ever been entered in the system. Use your browser search to locate the relevant ad (search on user email address) and then click on the right to reactivate it. Email the user to let them know that you have credited the account and also so we have the transaction in our system. There are some canned responses you can use for these emails available within gmail. We used to offer free design service for ads but we have discontinued it. If you are asked to do design, point them at the notice about this in the advertising information http://www.coolrunning.com.au/runningguide/wiki/index.php/Advertising - sometimes Kev takes pity on them and if you have a functional graphics programme you should be able to manage it yourself if you have time.
- Gear - currently Ellie80. Payments come through registernow and sometimes fax or mail. Quite a few queries for gear also come through the inbox so need to keep an eye on it.
