Adding Events To Calendar

Use these notes when adding events to the CoolRunning Calendar. Maybe printing this out and keeping it by your side when making your first few changes will help (?).

  1. Go here to add an event to the Calendar
  2. Logon using your username/ password - if you have one (people who add lots of events have a user name, but if you are just doing tihe odd one then you don't need an account). Note its a different name/password than for the Coolrunning Forums.
  3. Select "list" to show all events (may need to put a date to list from or put 0 in max rows box to list all) - you might need to narrow down the date range or state or event name. If none are listed then you will need to add a new event (From scratch).
  4. To edit an existing event: click on the pencil image, look at the entry, make the change(s) required and click "save".
  5. To add a new event (Copy Existing): it would be best to make a copy of an existing event to save retyping website, email and phone details. To do this click on the pencil image, next to an existing event, look at the existing entry, you're your changes eg new date / locations etc then click "SAVE AS" to make a copy of it.
  6. To add a new event (From scratch) : If you are entering your first event, then just click "Add Event" to bring up a blank event form, complete the details then click "SAVE" to save it.
  7. Go to the calendar for the correct state and look at events to confirm all ok - the change will be instantaneous if you are a "trusted user". The default view is 12 months from today, you may need to adjust the dates to view events further out.
  8. If the event begins and ends on the same day - no need to enter the "end date" field - this is just for multi-day events.
  9. Double check all email addresses and website URL links are working - you always need to have http:// at the start
  10. Classic mistakes you need to be careful of :
  • Make sure you enter the right date in dd/mm/yyyy format including the year. If you forget the year, it defaults to 1999.
  • Ensure you pick the right state in the LOCATION and TARGET CALENDAR fields.
  • Ensure all website URL links start with http://
  • If its a marathon or an ultra make sure you pick that AS WELL in the TARGET CALENDAR field - multiple sections are allowed and encouraged (use the CTRL key to select more than one option).
  • Ensure you pick ROAD / OFFROAD / Whatever in EVENT TYPE.
